Executive Assistant & Events Coordinator (m/f/d)

Your Role & Tasks

As the Executive Assistant & Partnerships Coordinator (m/f/d), you will be part of YSB's mission to harness the power of business to end poverty. You will be the point of contact among our executives, employees, local teams, clients, funders, and other external partners and report to our CEO.


Your tasks include but are not limited to the following:


Executive Assistant to Global Management Team

  • Act as the point of contact among executives, employees, clients,  other external partners, and teams
  • Manage the executives’ calendars, set up meetings
  • Make travel and accommodation arrangements for executives
  • Greet visitors & prepare conference room for meetings with external partners; facilitate meetings
  • Compile meeting and event briefings
  • Coordinate & schedule Investment Committees
  • Prepare travel expense reports
  • Handle external correspondence & communication
  • Assist in the organization of internal training & strategy workshops, teambuilding & team events
  • Contact Management & maintenance of CRM-related information
  • Organization & maintenance of filing system
  • Support the office coordinator (correspondence, procurement, hospitality, supplier management)
  • Ensure compliance to GDPR


Events & Partnerships Coordination

  • Plan & manage fundraising/corporate events from start to finish (incl. venue, catering, guest list, invitations, budget, staffing, schedule, and marketing material)
  • Coordinate participation and itineraries during high-level events incl. World Economic Forum, etc
  • Be the point of contact to the Yunus Centre, incl. Nobel Laureate Prof. Yunus
  • Organize partner field trips to our countries of operations incl. East Africa, Latin America, and India to show our impact to funders (incl. coordination with country offices, etc)
  • Make travel and accommodation arrangements for the present YSB team
  • Act as point of contact for donors, corporate clients & other external partners
  • Facilitate partnership opportunities
  • Help execute Marketing  Campaigns (Social Media, mailings)
  • Issue donation receipts
  • Prepare content & help design communication material
  • Contact Management & maintenance of CRM- and Lead Management-related information


What you bring to the table

  • Must be fluent in German and English (both written and verbally)
  • Excellent organizational, scheduling, and time-management skills, with:
  • An eye for detail
  • Ability to multitask
  • Ability to consistently meet deadlines and engage in 100% follow-through
  • Ability to work independently and adapt quickly to a fast-paced, dynamic environment
  • Ability to work efficiently with a partly remote team
  • Excellent communication skills, including administrative writing skills and positive presentation skills, with a focus on service orientation
  • Previous work experience, ideally in one of the following areas or areas with similar job profiles:
  • Event Management
  • Executive Assistance
  • Hospitality & Service industry
  • Based in Berlin/Brandenburg region or willing to relocate
